A Real-World Example: From Breathalyzer to Payroll - Fully Automatic

One of our client companies uses breathalyzers to check employees at the start and end of every shift. Their process used to look like this:

  1. An employee arrives at work and passes through the breathalyzer. The device creates a clock-in record in the breathalyzer log.
  2. At the end of the shift, the employee passes through the breathalyzer again. The device creates a clock-out record in the breathalyzer log.
  3. A manager transfers the data to the time tracking system once a week. Once a week, the manager opens the breathalyzer log and manually enters the data into the company’s time tracking system.
  4. Accountants transfer the data to the accounting system once a month. At the start of each month, the company’s accountants had to log into the time tracking system, download all employees’ working hours for the previous month in Excel format, and manually create timesheet entries for every employee in the accounting system in order to calculate payroll.

Each manual data transfer consumed significant time. In total, employees at this company spent ~30 working hours per month moving data from one system to another.

Here’s how the same process works now with Regula Data:

  1. An employee arrives at work and passes through the breathalyzer. Immediately after the check, the device sends a webhook request. Regula Data automatically creates a clock-in record in the time tracking system.

  2. At the end of the shift, the employee passes through the breathalyzer again. Another webhook request is sent, and Regula Data automatically closes the employee’s open time entry in the time tracking system.

  3. At the start of each month, a scheduled periodic integration pulls all time entries from the time tracking system and automatically imports them into the accounting software. Accountants have everything they need to calculate payroll - no searching, no asking around.
